The group works together as a team, covering and backing up one another to ensure smooth coverage of all the firms’ needs.

Responsibilities:
Greet guests and direct them to appropriate conference rooms
Contact CIFC host when guests arrive
Answer incoming calls
Assist in preparation of marketing materials for meetings (binding books)
Efficiently maintain conference room calendar
Provide and facilitate catering for meetings, investor luncheons, etc.
Liaise with building regarding issues or needs, communicating directly with building maintenance or support personnel
Register guests with building security
Serve beverages to guests
Obtain ID cards for new employees and replacements as needed
Order business cards for employees
Sort and distribute mail and packages
Mail and FedEx (i.e. postage, airbills, Certified Mail, etc.)
Maintain and tidy copy rooms and pantries
Orders office supplies and pantry items
Stock copy rooms and pantries
Assist other admins with special projects as needed
Communicate with vendors when equipment repairs are needed
Assist in coordinating firmwide events

Qualifications:
Education: Bachelors Degree
Financial Services experience a plus
Organized and has the natural ability to multi-task and balance priorities
Upbeat disposition, eager to assist employees / clients
Excellent communicator; both written and verbal
High attention to detail, and dedication to follow tasks through to completion
Professional presentation, ability to interface with senior executives
Strong problem-solving skills and work ethic
Self-starter, ability to take control and manage tasks appropriately
Knowledge of Microsoft Office Suite; Word, Excel, and PowerPoint
