Behavioral Health Practice Coordinator

We are looking for a Behavioral Health Practice Coordinator to serve as the operational backbone of our division. This is a hands‑on role at the center of everything — you will keep our scheduling, referral, and administrative systems running smoothly, provide direct day‑to‑day supervision and support to our front desk staff, and serve as the primary operational point of contact for clinicians, patients, and the Director of Behavioral Health. This role works across both of our locations and requires someone who is organized, proactive, and comfortable taking ownership of systems that need to be built, not just maintained.

Responsibilities

Daily Operations:

Monitor and respond to shared inboxes, voicemails, and internal messaging across both locations

Oversee appointment scheduling, rescheduling, and cancellations in eClinicalWorks (eCW) and IntakeQ

Triage incoming referrals and assign to appropriate front desk staff; monitor follow‑through

Ensure new patient intake processes run smoothly from referral to first appointment

Collect co‑payments and administrative fees at the time of service; coordinate with billing on patient insurance and payment questions

Obtain prior authorizations for the evaluation of patients as needed

Order and maintain office supplies and equipment across both locations

Front Desk Supervision & Coverage:

Provide direct supervision, guidance, and support to front desk staff

Conduct regular check‑ins with the front desk team to address questions, workflow gaps, and performance

Provide front desk coverage at either location as needed to maintain hours of operation

Director Support & Reporting:

Run regular reports from eCW on scheduling, no‑show rates, outstanding notes, and financial metrics; share findings with the Director

Send outstanding and unlocked progress note reports to clinicians on a regular cadence

Attend clinical and operational meetings; take notes and distribute key action items

Support special projects and new initiatives as assigned by the Director of Behavioral Health

Systems & Compliance:

Maintain accurate and confidential patient records in accordance with HIPAA regulations

Develop and maintain administrative SOPs to keep operations consistent across locations

Support recruitment, onboarding, and offboarding processes for BH division staff

Qualifications

2+ years of experience in a healthcare or medical office setting

At least 1 year in a supervisory or lead role

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)

Experience with electronic health record systems; eClinicalWorks experience a plus

Strong organizational skills and the ability to manage competing priorities across two locations

Excellent interpersonal and communication skills — comfortable with patients, families, clinical staff, and leadership

Reliable transportation and a valid driver's license required; must be able to travel between Germantown and North Bethesda locations

Associate's or Bachelor's degree in Healthcare Administration, Business, or a related field preferred; equivalent experience considered

Compensation
Hourly: $27 – $37.
