Executive Administrative Assistant 3 [209633]

Aquent, Redmond, WA, United States

Overview
Day in the Life – A typical day in this role balances executive support with leadership within the administrative community. The day begins by reviewing priorities and a complex executive calendar, resolving conflicts, anticipating changes, and ensuring meetings and travel are aligned with business objectives.

Throughout the day, the Executive Administrator partners closely with the Chief of Staff, leaders, and peer admins to manage Rhythm of Business, coordinate leadership meetings, track follow‑ups, and ensure decisions move forward. Executive travel planning, real‑time adjustments, and issue resolution are handled alongside ongoing operational responsibilities.

As a Lead Admin, the role also includes coaching and guiding other admins. This involves setting clear boundaries, pushing back appropriately, and encouraging admins to explore, research, and propose solutions rather than escalating every question. The Lead Admin provides direction, shares context, reinforces standards, and helps build confidence and capability across the admin team, while still maintaining accountability and ownership.

The day often includes context‑switching between urgent requests, mentoring conversations, and longer‑term operational work such as process improvements, event or space coordination, or resource tracking. The role requires sound judgment, professionalism, and discretion, and typically ends by preparing upcoming priorities and ensuring the next day is set up for success.
