Job Overview
Supports the Talent Acquisition team in the implementation and administration of Valley Medical Center's comprehensive recruitment programs. Coordinates the employment process from applicant to employee, including pre‑employment paperwork, reference and background checks, and other required procedures.
Responsibilities
Serve as a resource to all new team members regarding recruitment and onboarding activities.
Perform customer service functions via telephone, e‑mail, and in person in support of Talent Acquisition programs.
Coordinate the employment process, ensuring all new hire and pre‑hire paperwork is completed, references submitted, background checks and drug screenings ordered.
Manage all process issues with candidate drug screenings and background checks.
Prepare requisitions for recruiters to post, ensuring compliance and accuracy, and assist with requisition closing in ATS.
Support the development and administration of organization‑wide recruitment programs, ensuring alignment with Valley Medical Center’s goals and industry best practices.
Ensure accurate and timely record‑keeping, reporting and updating of new employee information, personnel files and records.
Complete all post‑New Employee Orientation activities, ensuring employee files are complete and ready for filing.
Perform necessary audits to ensure compliance with all state and federal regulatory guidelines.
Collaborate with multi‑disciplinary teams to develop internal communication avenues and ensure accuracy of information posted on company portals or other forms of communication.
Maintain Talent Acquisition SharePoint, ensuring accurate information and documentation is posted.
Facilitate and execute employee referral and sign‑on incentives.
Attend recruitment job fairs on behalf of Valley Medical Center.
Responsible for Talent Acquisition internal audit requests.
Assist internal and external applicants with online applications, responding to inquiries involving the employment process.
Support TA partners, assisting them with daily tasks and duties as directed.
Assist with recruiting processes.
Maintain understanding of company hiring policies and procedures.
Assist Talent Acquisition Partners and HR Leadership with various special projects.
Assist with HR front desk coverage and backup support when needed.
Perform other duties as assigned.
Qualifications
Bachelor’s degree in Business, Human Resources or a relevant field required; relevant experience may substitute.
Minimum three years of relevant experience in an HR Assistant, HR Coordinator, Talent Acquisition Coordinator, or a similar role preferred.
Experience with Applicant Tracking Systems required; highly proficient with Microsoft Suite (Word and Excel) and strong HRIS experience.
Able to identify and resolve problems in a timely manner while gathering and analyzing information skillfully.
Must always maintain strict confidentiality.
Must demonstrate excellent customer care and focus to assess team member needs.
Must be a team player, demonstrating strong teamwork and collaborative skills while delivering excellent customer service.
Strong written and verbal communication skills in a diverse population.
Adapt to changes in the work environment, manage competing demands, and deal with frequent change, delays, or unexpected events.
Ability to interact with staff at all levels in a fast‑paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with professionalism and confidentiality.
