Job Title: Office Administrator
This role provides professional front-line support for the office by managing incoming calls, coordinating schedules, and maintaining key administrative systems. You will handle customer service, assist with billing and payments, support subcontractor coordination, and keep company files, calendars, and communications organized to ensure smooth daily operations.
Responsibilities
Deliver professional customer service by answering and managing all incoming calls in a courteous and efficient manner.
Coordinate schedules and maintain the Work In Progress Board to ensure accurate tracking of ongoing activities and deadlines.
Support subcontractor coordination, including maintaining communication and assisting with program compliance requirements.
Assist with billing, payments, and accounts receivable by entering data accurately and supporting basic accounting processes.
Organize and maintain company files, calendars, and daily communications to keep information accessible and up to date.
Provide general administrative support, including data entry, clerical tasks, and office administration duties.
Use Microsoft Office and Outlook to prepare documents, manage email, and support day-to-day office operations.
Support basic sales-related activities as needed, such as updating records and assisting with customer follow-up.
Essential Skills
At least 6 months of customer service experience using Microsoft Office Suite programs.
Proficiency with Microsoft Office, including Word, Excel, and Outlook.
Comfortable handling a high volume of phone calls and speaking with customers over the phone.
Strong data entry skills with attention to detail and accuracy.
Experience providing administrative and clerical support in an office environment.
Ability to organize and maintain files, calendars, and schedules effectively.
Solid customer service skills with a professional and friendly communication style.
Typing skills sufficient to handle regular data entry and documentation tasks.
Additional Skills & Qualifications
Open to entry-level candidates who are eager to learn and grow in an office environment.
Experience in office administration or clerical roles is helpful.
Familiarity with basic sales support activities is a plus.
Ability to prioritize tasks and manage time effectively in a busy office setting.
