Salary and Benefits Overview
The salary range for this position is $35.75 - $49.91 per hour. Placement within the range is dependent on relevant work experience and internal equity. For union-represented positions, placement follows the collective bargaining agreement.

The Administrative Coordinator
The Administrative Coordinator reflects the mission, vision, and values of Northwestern Medicine, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines, and regulatory and accreditation standards.

Responsibilities

Responsible for accurate preparation, documentation, distribution, and reconciliation of payroll. Ensures accurate computation of pay and deductions, maintains current knowledge of all relevant legislation, and prepares required tax filings and reports. Responds to payroll inquiries and ensures timely resolution of issues.

Supports the Level One manager by coordinating daily and monthly work schedules to maintain adequate staffing levels. Resolves complex staff and customer situations and consults with management as needed. Contributes to operational improvements to meet service needs and organizational goals.

Identifies staff development needs and participates in training, education programs, and routine staff meetings. Assists in recruitment, interviews, and performance evaluations. Monitors workflow, productivity, and backlogs to ensure quality standards are met.

Facilitates departmental communication regarding new or updated goals, policies, procedures, and work methods. Provides orientation, training, and instruction on new procedures and administrative or financial updates.

Participates in system testing and validation before production implementation.

Qualifications

Knowledge, skill, and mental development equivalent to the completion of an associate or bachelor’s degree in accounting, finance, business administration, or human resources.

2 – 4 years of payroll experience, preferably in a multi-state or healthcare environment. Experience processing high-volume payrolls, reconciling accounts, and managing payroll exceptions.

Understanding of federal, state, and local payroll regulations, tax compliance, and wage/hours laws. Familiarity with benefits deductions, garnishments, and payroll reconciliations.

Strong attention to detail, leadership, organization, planning, and time management skills.

Excellent verbal and written communication skills as well as superior interpersonal skills to interact with employees and cross‑functional teams.

Ability to prioritize multiple tasks and meet strict payroll deadlines.
