Reports to: Chief Executive Officer and Chief Operations Officer
Supervises: May supervise CIS personnel
Starting Salary: $5,000/monthly ($60,000/yearly)

Position Summary
The Administrative Assistant to the Chief Executive Officer provides reliable, high-level, confidential support, ensuring the CEO operates efficiently and strategically through organizational, communication, and problem-solving skills. Key duties involve calendar management, coordination of meetings, reconciling CEO expenses, providing general administrative support, and handling sensitive information with discretion. The Administrative Assistant will also support special projects as assigned.
What You'll Do
Provide general administrative support for the CEO
Handle sensitive matters and maintain records with utmost confidentiality and discretion
Proactively manage and prioritize the CEO's extremely active calendar of appointments, resolving conflicts, and coordinating complex meeting schedules with internal and external stakeholders
Coordinate with all key participants, find mutually agreeable times, and send meeting invites
Inform CEO about daily meetings, scheduled activities, and deadlines
Assist with special projects by coordinating resources and tracking progress
Reconcile CEO expenses and prepare invoices and PVs
Maintain adequate system for managing supplies
Manage Contract Lifecycle process for CEO and Board Approvals
Assist in preparation, logistics, and administrative activities for board meetings
Manage the c-suite operations as directed by the CEO and/or COO
Assist and support c-suite with administrative tasks, including but not limited to calendar management, scheduling, meeting and presentation preparation, special projects support, resources coordination, document management, etc.
Participate in the CIS team approach to service delivery and problem-solving
Promote and maintain agency values, culture, standards, and systems
Perform all other duties as required by the CEO or Chief Operations Officer
What You Bring
Minimum of 5 years of proven experience as an administrative assistant or in a similar role
Highest level of professionalism, discretion, judgment, and confidentiality
Proven ability to work in a fast paced always changing environment
Detail oriented with strong attention to detail
Exceptional organizational, time management, and multitasking abilities
Exceptional customer service skills
Solid written and verbal communication skills
Strong problem-solving ability
Strong computer skills including MS Outlook, Word, Excel and Power Point and virtual communication tools including MS Teams and Zoom
Demonstrated ability to take direction and work independently and proactively to meet deadlines
Reliable transportation is required
