Administrative Assistant III - Operations - Classification And Inmate Transportation Division - Huntsville
Performs complex administrative support work. Work involves providing and coordinating administrative support including disseminating information; developing filing systems; and preparing and editing reports and documents. Works under limited supervision with moderate latitude for the use of initiative and independent judgment.
Essential functions include:
Performs technical assistance work for an agency program; coordinates work with departments of the agency, local, state, federal, private organizations; and the public; and develops administrative and technical assistance policies and procedures.
Prepares and disseminates information concerning programs and procedures; prepares, edits, and distributes correspondence, reports, studies, forms, and documents; responds to inquiries regarding rules, regulations, policies, and procedures; and performs complex typing and word processing.
Maintains filing, record keeping, and records management systems to include automated information systems; and compiles, edits, and enters data, makes calculations, and prepares reports.
Researches, composes, designs, and edits agency publications, forms, manuals, and reports; assists in researching technical issues; and participates in the planning and execution of an agency program.
Minimum qualifications include:
Graduation from an accredited senior high school or equivalent or GED.
One years full-time, wage-earning clerical, secretarial, administrative support, technical program support, or criminal justice experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department Of Education (USDE) may be substituted for each six months of experience.
Inmate classification experience preferred.
Computer operations experience preferred.
Knowledge and skills include:
Knowledge of the principles and practices of program administration and management.
Knowledge of applicable state and federal laws, rules, regulations, and statutes.
Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
Skill to communicate ideas and instructions clearly and concisely.
Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
Skill to interpret and apply rules, regulations, policies, and procedures.
Skill in administrative problem-solving techniques.
Skill in the use of computers and related equipment in a stand-alone or local area network environment.
Skill to review technical data and prepare technical reports.
Skill to oversee program activities.
Skill to develop and evaluate administrative policies and procedures.
Skill to train others.
Additional requirements include:
Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
Equipment used in performing only the essential functions include computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
