Part Time Property Administrator

We are seeking a diligent and detail-oriented Part Time Property Administrator to support our Property Management team. The ideal candidate will provide comprehensive administrative support, ensuring smooth property operations and enhancing tenant relations. This role offers flexibility and the opportunity to be part of a dynamic team in a fast-paced environment.
Responsibilities

Provide administrative support to the Property Management team, including correspondence, reporting, and document management.
Maintain organized property files, including leases, contracts, insurance certificates, and vendor documentation.
Manage calendars, schedule meetings, and coordinate property-related activities and events.
Track and maintain certificates of insurance (COIs) and contract expirations.
Serve as a point of contact for tenant requests and inquiries, ensuring timely and professional responses.
Draft and distribute tenant communications including notices, rent statements, and building updates.
Track and monitor service requests/work orders and provide status updates to tenants and management.
Support tenant onboarding, including collection of required documentation prior to occupancy.
Assist with accounts payable and receivable processes, including coding and processing invoices, tracking vendor payments, and supporting rent collections.
Generate and distribute rent statements and assist with tenant bill-backs.
Support monthly financial reporting, including variance explanations and budget tracking.
Maintain accurate lease records within property management systems (e.g., Yardi, MRI).
Track critical lease dates including expirations, renewals, rent escalations, and options.
Assist in the bidding process for services and maintenance contracts.
Coordinate vendor onboarding, including COIs and compliance documentation.
Assist in preparation of monthly, quarterly, and annual management reports.
Support annual budget preparation and ongoing budget tracking.
Essential Skills

25+ years of experience in commercial property management, lease administration, or real estate operations.
Strong understanding of commercial lease terminology and structures.
Experience with accounts payable/receivable and basic financial reporting.
Proficiency in Microsoft Office Suite, particularly Excel.
Experience with property management software such as Yardi or MRI.
Additional Skills & Qualifications

Typing speed of 40 WPM.
Experience in financial reporting.
Work Environment

You will join a collaborative Property Management team consisting of three Property Managers and one Property Accountant. The role offers 20-25 hours per week to start, with the potential to adjust based on business needs. Job Type & Location: This is a Contract to Hire position based out of Rockville, MD.
Pay and Benefits: The pay range for this position is $28.85 - $31.25/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
