Property Operations Administrator

Responsibilities
We are seeking a detail-oriented Property Operations Administrator to provide comprehensive administrative and operational support to a property management team. This role plays a key part in ensuring smooth day-to-day operations while supporting tenants, vendors, and internal stakeholders.

Provide full administrative support including phone coverage, document preparation, filing, and correspondence distribution

Coordinate meetings, appointments, and special events as needed

Support lease administration by maintaining tenant contact information, tracking insurance certificates, and generating related reports

Assist with the preparation and coordination of bid proposals, service agreements, and vendor contracts

Support the vendor bidding process and ensure compliance with internal policies and procedures

Prepare, review, and route invoices for approval; ensure accurate coding and timely processing

Maintain accurate contract and insurance documentation, including tracking renewals and expirations

Monitor and manage the property work order system; prepare recurring status reports

Maintain purchase orders, leases, contracts, and other property-related records

Ensure the office is properly stocked and operational with necessary supplies and equipment

Foster positive relationships with tenants, vendors, and internal partners while tracking service requests

Assist with monthly and quarterly reporting and support annual budget preparation

Process time reporting, expense reports, tenant bill‑back invoices, meter readings, and check requests

Requirements

High School diploma or GED required; Bachelor's degree preferred

Strong written and verbal communication skills

Customer‑focused mindset (internal and external)

Highly organized with strong attention to detail

Excellent interpersonal skills

Proactive and resourceful

Ability to manage multiple priorities in a fast‑paced environment

Compensation
The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors such as relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract, and business needs. This range may be modified in the future.

We offer comprehensive benefits including medical/dental/vision insurance, HSA, FSA, 401(k), and life, disability & ADD insurance to eligible employees. Salaried personnel receive paid time off. Hourly employees are not eligible for paid time off unless required by law. Hourly employees on a Service Contract Act project are eligible for paid sick leave. Pay is not considered compensation until it is earned, vested and determinable. The amount and availability of any compensation remains in Kforce's sole discretion unless and until paid and may be modified in its discretion consistent with the law. This job is not eligible for bonuses, incentives or commissions.
