
Service Operations Administrator (Stratford)

The Service Operations Administrator supports the day-to-day workflow of the HVAC service department by coordinating schedules, processing payroll and invoicing, managing work orders. This role is central to keeping operations organized, customers satisfied, and revenue flowing smoothly.
Key Responsibilities
•Process completed work orders and prepare customer invoices
•Assist with payroll tracking for field technicians.
•Process & approve payroll for HVAC Service Technicians, including verifying GPS, our CRM Software, and our Payroll provider information are all aligned.
•Submit HVAC Service Payroll on time weekly.
•Track service tickets from dispatch through completion and billing
•Maintain accurate service records and documentation
•Support service management with reporting and administrative tasks
Qualifications
•2+ years in service coordination, office administration, or operations support (HVAC, trades, or field service preferred)
•Strong organizational and multitasking skills
•Comfortable working in fast-paced, deadline-driven environments
•Proficient with scheduling software, invoicing systems, and Microsoft Office or Google Workspace
•Clear verbal and written communication skills
•Attention to detail with strong follow-through
Preferred Experience
•Experience in HVAC, plumbing, electrical, or construction service operations
•Familiarity with dispatching, work order systems, or job costing
