Position Summary
The Onboarding Coordinator supports the daily onboarding and HR compliance needs of the Human Resources team. This role is responsible for managing pre‑employment processes, coordinating onboarding activities, and maintaining accurate and audit‑ready employee records. This position plays a key role in ensuring a smooth and consistent onboarding experience for all new hires while supporting HR file compliance aligned with licensure and accreditation requirements. The ideal candidate is highly organized, detail oriented, and able to manage multiple responsibilities in a fast‑paced, process‑driven environment. This is a part‑time position working approximately 25 hours per week, fully on site in Westlake, Ohio, with a schedule of 5 days per week.
What You’ll Do
Onboarding & Pre Employment Coordination
Manage the onboarding process from offer acceptance through new hire orientation
Facilitate monthly new hire orientation and ensure a consistent and positive experience
Coordinate and track all pre‑employment requirements including background checks, fingerprinting, registry checks, drug screens, and licensure verification
Partner with Talent Acquisition to ensure candidates move efficiently through the hiring process
Ensure all onboarding documentation is complete, accurate, and compliant prior to start date
HR File Compliance & Record Management
Maintain employee personnel files, both electronic and physical, ensuring accuracy, completeness, and audit readiness
Track and monitor compliance requirements related to licensure and accreditation standards
Maintain documentation for employee lifecycle events including performance reviews, status changes, and other required records
Assist with preparation of files and documentation for internal and external audits
Offboarding & HR Administrative Support
Support employee offboarding processes including documentation and exit interviews
Ensure proper file closure and adherence to record retention standards
Provide general administrative support to HR initiatives and projects
Partner with Learning and Development to support onboarding processes and materials
What You Bring
Qualifications
Experience in an HR, recruiting, or administrative support role required
Prior recruiting or talent acquisition support experience preferred
Experience coordinating background checks, fingerprinting, registry checks, or similar compliance‑related processes preferred
Strong attention to detail and commitment to accuracy
Strong organizational and time management skills
Ability to manage multiple priorities in a fast paced environment
Experience with HRIS systems and Microsoft Office Suite
Ability to work independently while collaborating across teams
Ability to travel between Westlake and Strongsville as needed
