Overview
We’re seeking an experienced
Executive Assistant II
to provide high-level administrative and organizational support to an
Executive Vice President . This role is ideal for someone who thrives in a fast‑paced environment, can manage competing priorities with minimal direction, and is confident partnering with senior leaders and key stakeholders across the organization.
What you’ll do
Manage a complex executive calendar
(internal + external meetings), including prioritization, scheduling, and ensuring the executive is prepared and on time.
Triage and manage the inbox , flagging items needing approval and ensuring timely follow‑through.
Coordinate travel and work‑related expenses , including conference/work travel planning and expense submission.
Prepare meeting materials
such as agendas, presentations, and executive‑level reports.
Track action items and deliverables
by building/maintaining a project tracking system and coordinating with staff to ensure completion.
Support meetings and events
(onsite and offsite): capture action items
otes, distribute follow‑ups, and help with logistics (including vendors/catering) while staying within budget.
Draft and polish communications , especially external‑facing messages, based on executive conversations and direction.
Serve as a key communication bridge
between the Executive Vice President and direct reports/partners to keep information flowing smoothly.
Maintain organized
files and records
(electronic and paper) for easy retrieval and historical reference.
Handle additional
special projects and administrative tasks
as assigned (supplies, general admin support, etc.).
Required qualifications
High School Diploma or GED
7+ years
supporting
executive‑level leadership
Demonstrated experience with:
Managing a
highly complex calendar
Inbox triage
and prioritization
Professional writing/communication polishing
Onsite executive support
(printing, preparing materials, meeting readiness, travel‑time reminders, etc.)
Travel coordination
and
expense reporting
Strong proficiency with
Microsoft Office
Excellent
organization, time management, and communication
skills
Comfortable learning new tools/technology as needed
