
Purchasing Assistant

We are seeking a detail-oriented Purchasing Assistant to support our purchasing team by coordinating vendor communication, tracking bids and purchase orders, and maintaining accurate system data. This role plays a critical part in ensuring our purchasing process runs efficiently and projects stay on schedule.
Responsibilities
Follow up with subcontractors on outstanding bid submissions
Track and maintain bid logs and vendor participation
Communicate with vendors to clarify scope, pricing, and documentation
Assist in gathering comparable supplier pricing
Monitor and update purchase order approvals and revisions
Maintain accurate records of all PO activity
Add subcontractors to project schedules upon approval
Coordinate with internal teams (Purchasing, Selections, AP) for updates and clarifications
Ensure vendor contact information and documentation are up to date
Support pricing documentation and cost tracking efforts
Qualifications
While prior experience in purchasing, construction, or administrative support is preferred, it is not required. The ideal candidate will have strong communication skills, basic proficiency in Excel or Google Sheets, and the ability to manage multiple tasks and deadlines effectively. A high level of accuracy, follow-through, and accountability is essential, along with a proactive mindset and the ability to work collaboratively with internal teams and external vendors.
Compensation
$50,000 - $55,000 per year
