
Executive Assistant

Overview
We\'re seeking an Executive Assistant to join our Northbrook, Illinois office. In this role, you\'ll support senior leadership and the Board of Managers by managing schedules, preparing agendas, and creating presentations. You\'ll also handle business development tasks, including tracking inquiries, managing contacts, and using HubSpot. You\'ll coordinate marketing efforts with vendors, develop digital campaigns, update our Squarespace website, conduct market research, and draft correspondence.
Responsibilities
Provide support for the senior leadership and management teams, including preparation and scheduling of client meetings. Coordinate meeting needs and agendas, and assist in creating spreadsheets and presentations as required.
Provide support for the Board of Managers, including scheduling, meeting packet distribution, and meeting minutes.
Support business development needs, including
• Tracking inquiries and other contacts; adding contacts via LinkedIn and other sources
• Utilizing HubSpot in support of business development needs
• Coordinating marketing efforts in collaboration with a marketing vendor
Respond to inquiries with appropriate marketing emails and assist in the development of a digital marketing campaign.
Update the website (Squarespace) with direction from management.
Perform market and industry research and prepare summaries as assigned.
Draft correspondence, letters, memos, and various reporting.
Receive and respond to calls from customers as well as sales representatives.
Participate in goal projects while maintaining daily workload.
Qualifications
Bachelor\'s degree
3+ years of senior leadership level support experience
Proficient in Google Workspace and database management; ability to create exceptional Google Slides is a plus
Excellent written and verbal communication skills
Impeccable organizational skills, detail-oriented with strong ability to multitask and prioritize
Proactive, solutions-oriented and resourceful
Outstanding interpersonal skills with the ability to work well with individuals across the company at all levels with professionalism and respect
High degree of initiative
High level of discretion and confidentiality
Strong problem-solving abilities and attention to detail
Flexibility to adapt to a fast-paced environment with changing work priorities
