Essential Job Duties

Patient Check‑In/Check‑out (10%) – Greet patients warmly, collect and verify patient information, schedule appointments, manage cancellations and reschedules, process co‑payments, and direct patients within the facility.

Insurance Verification and Billing (15%) – Verify insurance coverage, identify copay information and PCP assignment, facilitate PCP reassignment following the PCP change process, communicate sliding fee process, conduct income determinations, assign payment category, and document all information in the EMR.

Documentation (15%) – Utilize the electronic patient management and medical record system efficiently and accurately, maintain patient demographic and financial accounts, scan paper forms into the EHR in a timely manner, and assure prompt communication and follow‑up with clinical inbox tasks.

Scheduling and Coordination – Coordinate appointments, referrals and follow‑up visits, communicate effectively with healthcare providers and support staff to optimize scheduling and patient flow, and arrange interpreter services or other accommodations as needed.

Collections (10%) – Collect fees at the time of visit, issue receipts, set up payment plans, safeguard monies collected, complete deposits and paperwork daily, maintain an accurate cash drawer balance, and submit required documentation to Finance.

Customer Service – Employ excellent customer service skills during all interactions with patients and visitors, professionally answer telephones or routed calls promptly, and screen calls for appropriate handling.

Orientation – Assist with orientation of medical assistants, students and other personnel as assigned.

Marginal Job Duties

Fill in for other staff as needed and qualified.

May assist with errands as assigned.

Assist the Center Management as necessary.

Perform other duties as assigned.

Job Specifications

Education: High school diploma or equivalent required, one (1) year previous experience in a medical office or clinic setting.

Experience: One (1) year previous experience in a medical office or clinic setting; basic medical terminology and medical insurance processing experience.

Licensure: N/A

Skills: Typing, filing, computer, telephone etiquette and answering skills; critical thinking skills; ability to respond consistently to managerial directives; ability to multitask and work within a dynamic environment.

Interpersonal Skills: Ability to communicate effectively with, and relate to, a diverse population professionally and courteously; flexibility; teamwork.

Physical Effort: Must be able to lift, carry, push, pull, or twist while holding up to 25 lbs. frequently.

Hours of Work: Full-time or part-time, flexible and varied. Telecommuting is not available.

Travel: Generally, not required.
