Program Coordinator, Center for Church Management

The Center for Church Management (the Center) at the Villanova School of Business provides education and scholarship in the Augustinian Catholic tradition on strategic, management and financial matters in service to leaders of churches and Christian faith‑based ministries. As Program Coordinator, you will support the coordination, development, and execution of all Center programs and initiatives under the direction of the Center Director.
Event Management
Support the Director and Assistant Director in planning and executing in‑person events including the Church Management in the Diocesan Apostolate program, MSCM residency, Research Fellowship conference, Certificate in Church Management for Men in Formation, Advisory Council meetings and other Center conferences.
Work with the Director on strategic planning of annual events.
Collaborate with Villanova Conference Services, the Events Team, and contracted hotel partners to ensure event hospitality is well‑managed.
Manage registration processes, including use of event‑management software and reporting.
Attend and manage on‑site logistics, coordinate vendors, handle queries, and troubleshoot to ensure smooth operations.
Oversee set‑up and breakdown of events, including venue clearance and follow‑up.
Marketing and Communications
Serve as the initial point of contact for academic program questions and inquiries (MSCM and Certificate programs).
Assist the Director and Assistant Director with donor stewardship projects such as mailings, seasonal gifts, and in‑person hospitality.
Support partner communications and outreach to promote MSCM and Certificate programs during recruiting and registration seasons.
Plan, create, and execute email campaigns related to Center initiatives.
Maintain an up‑to‑date email database.
Coordinate with VSB Marketing and Communications to ensure marketing content (display, audio/video, flyers, print‑outs, partner web content) is current and printed.
Co‑ordinate photography and video with marketing departments for Center initiatives.
Spearhead programs to engage alumni of the MSCM, the Augustinian Leadership Journey, Certificate takers, and other Center constituents.
Promote development and fundraising by overseeing 1842 Day promotion, annual donor recognition, and development tracking.
Maintain website and LinkedIn content and keep event and research pages current.
Center Administrative Support
Coordinate travel, lodging, and itineraries for Center staff for conferences and off‑site workshops.
Assist staff in tracking spending, processing expense reports, and invoice submission.
Process payments, manage expense reports, and verify that Center expenses align with relevant indexes.
Help with short‑ and long‑range financial planning for the Center, especially for events and hospitality.
Minimum Qualifications
Bachelor’s degree or equivalent work experience.
Minimum of 2 years’ experience in a relevant work environment.
Ability to develop and nurture relationships with students, staff, faculty, alumni, University offices, and external service providers.
Ability to streamline processes and procedures to create efficient operations.
Ability to work independently and manage multiple projects and events.
Excellent oral and written communication skills.
Strong organizational, problem‑solving, decision‑making, and interpersonal skills.
Strong program and project management skills.
Proficiency with Microsoft Office applications.
Knowledge of general office equipment.
Highly proficient in administrative functions including business correspondence, scheduling, budgeting, financial processes, and phone/email communication.
Proactive problem‑solving in a fast‑paced environment.
Flexible work schedule (occasional evenings, weekends; domestic and international travel).

Salary and Benefits
