Attendance Clerk / Registrar

Location: L.E.A.D. Academy Montgomery Reports To: Assistant Executive Director Work Calendar: 12-Month Position
The Attendance Clerk / Registrar is responsible for managing student attendance, enrollment, withdrawals, transfers, and student records for L.E.A.D. Academy. This position ensures accurate recordkeeping, timely reporting, compliance with state and local requirements, and excellent customer service to families, scholars, and staff.
The Attendance Clerk / Registrar serves as a key point of contact for student data management and supports daily school operations through efficient organization, communication, and confidentiality.
Attendance Management

Maintain accurate daily attendance records for all scholars.
Verify absences, tardies, early dismissals, and attendance corrections in the student information system.
Contact parents/guardians regarding unexcused absences or attendance concerns.
Prepare and submit required attendance reports to school leadership and state agencies.
Monitor truancy thresholds and notify administration of attendance concerns.
Maintain documentation for attendance notes, excuses, and legal records.
Enrollment & Registration

Process new student registrations, withdrawals, transfers, and re-enrollment requests.
Collect and verify required enrollment documentation, including proof of residency, immunization records, birth certificates, transcripts, and custody documents.
Maintain student waitlists, lotteries, and enrollment files as assigned.
Ensure compliance with charter school, district, and Alabama enrollment requirements.
Coordinate records requests for incoming and outgoing scholars.
Student Records Management

Maintain accurate cumulative records, transcripts, grades, schedules, and demographic information.
Ensure student records are secure, organized, and compliant with FERPA regulations.
Update student information including addresses, emergency contacts, and family changes.
Assist with student promotions, retention records, and end-of-year rollover processes.
Family & Front Office Support

Provide professional customer service to families, staff, and visitors.
Assist parents with enrollment procedures, attendance questions, and record requests.
Support front office operations, phones, and general clerical duties as assigned.
Communicate school attendance expectations and registration deadlines clearly.
Compliance & Reporting

Ensure adherence to attendance laws, compulsory attendance regulations, and school policies.
Prepare data for audits, compliance reviews, and state reporting deadlines.
Generate reports related to enrollment, attendance trends, withdrawals, and scholar demographics.
Maintain confidentiality of all student and family information.
Operational Support

Collaborate with administration, counselors, nurses, and teachers regarding scholar records and attendance matters.
Assist with scheduling, testing rosters, report cards, and school events when needed.
Support continuous improvement of office systems and student record processes.
Qualifications

Required

High school diploma or equivalent required; associate or bachelor's degree preferred.
Minimum of two (2) years clerical, office, school records, or administrative experience preferred.
Strong computer skills, including Microsoft Office, Google Workspace, and PowerSchool.
Strong organizational skills with attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information professionally.
Excellent verbal and written communication skills.
Preferred

Experience in school attendance, registration, or records management.
Knowledge of Alabama State Department of Education attendance and enrollment procedures.
Experience with PowerSchool or similar student information systems.
Bilingual communication skills.
Physical Requirements

Ability to sit, stand, walk, and work in an office environment for extended periods.
Ability to lift files or office materials up to 25 pounds.
Ability to use computers, phones, and office equipment daily.
