Key Responsibilities and Major Duties:

  • Provide administrative and project management support to the entire VAP Marketing team
  • Manage the scheduling and coordination of meetings, events, and promotional activities
  • Manage internal processes such as Veeva Events, scopes of work, purchase orders, and contracts to keep day-to-day business in motion
  • Maintain and update marketing databases and internal systems to obtain approval to engage healthcare providers in advisory and speaking roles
  • Manage compliance documents for healthcare provider engagements
  • Manage administrative tasks such as budgeting, invoicing, and vendor communications
  • Facilitate communication among team members and stakeholders to ensure alignment and resolve issues – this may include monitoring project progress and adjusting plans as necessary to meet objectives
  • Keep track of upcoming expiration dates of marketing resources and coordinate with the VAP team and other functions to ensure resources are updated in a timely manner, as needed
  • Operational support including QC’ing payer data updates and other field-facing tools
  • Marketing support including QC’ing final files from our marketing agency, QC’ing uploads in Veeva Vault Promo Mats for initial submissions and proofreading, and ensuring internal review trackers are populated and updated
  • Organizational support such as managing field team resources and account trackers in Box, including thoughts on how best to structure and organize the information for easy access
  • Note taking and agenda support for Field Input Team (FIT) calls
  • Data/document entry into information management systems
  • Other related duties may be assigned


Qualifications:

  • Bachelor’s degree in marketing, Communications, Business or related field
  • 1-3 years of experience in marketing or related roles
  • The ideal candidate will have experience in pharmaceutical marketing, agency management, brand partnership, and MLR (medical, legal, regulatory) approval processes
