ITility seeks a talented

Associate Proposal Manager

who acts in a core execution role within the Proposal Operations team. This individual will manage end-to-end proposal processes for RFIs, SSNs, and Task Orders while providing critical writing and production support for large-scale, complex pursuits. The role requires a blend of technical writing, rigorous document engineering (DTP), marketing & communications support, and digital workspace administration.

Core Responsibilities
Proposal & RFI Execution

Full Lifecycle Management:

Lead cross-functional teams in developing responses for RFIs and Task Orders end-to-end, including deconstructing requirements, creating compliant outlines & compliance matrices, and managing/driving the submission schedule.

Content Generation:

Draft, edit, and tailor technical, management, and past performance narratives to meet specific RFP evaluation criteria.

Review Coordination:

Design & facilitate milestone reviews (Color Teams) and ensure relevant evaluator comments are adjudicated and integrated into the final response.

Technical Production & Document Engineering

Desktop Publishing (DTP):

Execute final formatting of proposal volumes in Microsoft Word, ensuring 100% compliance with Section L/M instructions (styles, margins, and page constraints).

Presentation Architecture:

Design and architect executive-level slide decks for oral presentations and capability briefings, ensuring high visual impact and message clarity.

Quality Control:

Conduct final compliance checks, including cross-reference validation, acronym list management, and PDF optimization for portal submissions.

Growth Infrastructure & Administration

SharePoint Administration:

Manage the Proposal SharePoint environment, including folder architecture, version control, and permissions management to ensure a streamlined collaborative workspace.

Content Development:

Systematically capture and organize "Gold Baseline" content (resumes, past performance, and boilerplate) into a centralized, searchable repository.

Asset Maintenance:

Proactively update corporate growth assets to ensure the team is never "starting from zero" on a live pursuit.

Digital Communications & Marketing Support

Marketing Content Contribution:

Support corporate marketing efforts by drafting copy for website updates, press releases, and social media posts, specifically translating proposal wins and corporate milestones into public-facing content.

Brand Coordination:

Collaborate with internal, cross-functional teams to ensure customer-facing content accurately reflects current corporate capabilities, contract vehicles, and messaging.

Growth Asset Alignment:

Assist in developing and maintaining corporate marketing collateral, including capability one-pagers, case studies, and event materials, ensuring a consistent visual and textual identity.

Qualifications

Experience:

3+ years of experience in Federal Government contracting or professional proposal development.

Technical Proficiency:

High-level mastery of Microsoft Word (Styles and DTP) and PowerPoint (Master Slides/Architecture).

AI Integration:

Demonstrated knowledge of and proficiency with proposal/capture/business development AI platforms like Awarded.AI, GovDash, Response.AI, Visible Thread, or similar.

SharePoint:

Practical experience managing SharePoint sites or similar document management systems.

Writing:

Strong technical writing skills with the ability to translate SME input into compliant, persuasive prose.

Aptitude:

A meticulous eye for detail and the ability to thrive in a high-velocity, deadline-driven environment.

Desired Qualifications

Demonstrated experience supporting USSOCOM bids.

Experience supporting proposals for OCONUS work.

PMI Program Management Professional or Association of Proposal Management Professionals.

Physical Requirements

Work is typically performed in an office setting.

Prolonged periods of sitting at a desk and working on a computer.

While performing the duties of this job, the employee is regularly required to stand, sit, demonstrate manual dexterity, climb stairs, talk, hear and see.

Must have the ability to lift 15-25 pounds.
