A growing, brand-focused company in the trade show, events, and refrigeration space is seeking an organized, proactive Operations & Account Coordinator to support client projects, administrative operations, logistics coordination, and executive-level support. This is a highly visible role working closely with leadership, clients, vendors, and partners while helping ensure projects, shipments, and events run smoothly.

This position is ideal for someone who enjoys wearing multiple hats, staying organized, supporting client relationships, and keeping moving pieces on track. There is a clear path to expanded client-facing Account Management responsibilities as the company continues to grow.

What You'll Be Doing

• Serve as a key support partner to leadership, helping manage priorities, schedules, follow-up items, and operational requests

• Coordinate client communications regarding project status, timelines, shipments, and event logistics

• Assist with account management activities and help maintain strong client relationships

• Handle administrative tasks, documentation, reporting, and project tracking

• Coordinate freight and logistics for trade shows, events, and refrigeration equipment

• Work with warehouses, vendors, and 3PL partners to manage inventory, deliveries, and shipments

• Source quotes, schedule transportation, and track shipment activity

• Maintain accurate records of inventory, project timelines, and operational activities

• Support field marketing initiatives, trade show planning, and event execution

• Assist with vendor management and ongoing operational projects

• Help ensure deadlines, deliverables, and client expectations are consistently met

What They're Looking For

• 1-5 years of experience in administrative support, executive assistance, client services, account coordination, project coordination, logistics, operations, or related fields

• Exceptional organizational skills and attention to detail

• Strong customer service mindset with excellent written and verbal communication skills

• Ability to manage multiple priorities and shifting deadlines

• Resourceful, proactive, and comfortable working independently

• Strong follow-through and accountability

• Experience supporting clients, executives, vendors, or project teams is highly valued

• Familiarity with logistics, shipping, inventory management, or vendor coordination is a plus

• Interest in marketing, events, experiential branding, or trade shows is a plus

• Independent contractor arrangement with weekly invoicing/pay cycle
