Arias & Associates, Inc., a firm specializing in Geotechnical Engineering, Construction Materials Testing (CMT), and Special Inspections, is seeking a detail-oriented and highly organized Proposal Coordinator to join our growing team.

This role is ideal for a strong writer who thrives in a deadline-driven environment and is interested in the AEC (Architecture, Engineering, Construction) industry. The primary focus of this position will be the development of Statements of Qualifications (SOQs) created in response to Requests for Qualifications (RFQs) to support public- and private-sector pursuits.

Key Responsibilities
Proposal & Qualifications Development (Primary Focus)

Lead the preparation and coordination of SOQs/RFQs, ensuring compliance with client requirements and deadlines.

Write, edit, and format clear, compelling proposal content that highlights the firm and staff’s qualifications and project experience.

Collaborate with technical staff to gather information, including project data, resumes, and key differentiators for proposals.

Maintain and update proposal templates, content, and internal marketing materials.

Manage multiple pursuits while maintaining accuracy and organization in a fast-paced, deadline-driven environment.

Marketing & Business Development Support

Create and schedule social media content.

Monitor trends and suggest innovative ways to engage target audiences.

Contribute basic graphic design for marketing materials and proposals.

Create marketing materials, including brochures, project sheets, and presentations using Adobe Creative Cloud applications (e.g., InDesign, Photoshop, Illustrator, Premiere Pro) and Canva.

Support website updates and content management.

Assist with event planning and coordination as needed.

Provide support for business development initiatives by participating in industry events and organizations, and by engaging in client outreach efforts.

Qualifications

Bachelor’s degree in Communications, English, Marketing, Journalism, or related field.

1+ years of experience in marketing, proposal coordination, or related role (AEC industry experience strongly preferred)

Experience with Adobe InDesign is a plus.

Excellent writing, editing, and proofreading skills.

Strong attention to detail and ability to interpret RFQ requirements.

Ability to manage multiple deadlines and prioritize tasks effectively.Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
