Job Responsibilities

The Administrative Specialist for the Business & Computer Engineering Technologies Division provides administrative support to the Dean, Department Chairs, and faculty, including preparing and distributing general and confidential information. Performs typing/word processing and produces finished documents (letters, tests, course syllabi, self-studies, etc.); works with faculty to develop special projects and presentations.

Responsible for performing administrative support duties and completing special projects as assigned, including but not limited to scheduling meetings and assisting other departments within the college. Compiles, enters, updates, and generates various reports from the college database system for the division. Maintains up to date files (electronic and hard copy), forms, etc.

Completes course data entry for all courses in the division each semester. Validates course listings while verifying lecture and lab contact hours to ensure compliance. Creates and distributes course addendums each semester.

Compiles and submits pay agreements as needed for faculty within the division. Maintains faculty workloads in Colleague. Computes, submits, and tracks all pay agreement information for all Faculty in the division.

Maintains accurate room utilization during course scheduling. Schedules all rooms for divisional use and events such as advisory council and camps. Ensures appropriate room setup and reports on room utilization when requested.

Provides customer service and maintains a professional office environment to all visitors and students as well as all internal and external contacts. Serves as the first line of contact for the division and provides direction in the absence of leadership. Minimum and Additional Requirements

A high school diploma or GED. Preferred Qualifications

Associate degree in a related field plus 2 years of related experience; or a high school diploma plus 4 years of related experience.

Additional Comments

Occasional evenings and weekends may be required to work for scheduled events.
