Nature & Purpose of Position
Performs moderately complex administrative support and program coordination for the Smith-Hutson Scholars.
Primary Responsibilities
Oversees program coordination, student development, and administrative support duties for the Smith‑Hutson Scholarship Program at Sam Houston State University (SHSU). Provides 360‑degree support for up to 300 scholars. Plans, organizes, and coordinates the day‑to‑day strategic operations for the Smith‑Hutson Scholarship Program. Assists with complex managerial work providing direction and guidance in strategic operations and planning for the Smith‑Hutson Scholarship Program. Plans and coordinates outreach programs to raise awareness of the program and organizes engaging programming and events for scholars and program alumni. Coordinates project activities with professional and managerial staff in university departments and divisions, other state agencies, governmental jurisdictions, or private sector partners and contractors. Develops and implements techniques for evaluating student success programs. Oversees programs focusing on continuous process improvement. Prepares and reviews reports on the effectiveness of program activities. Assists with the preparation and oversight of standard operating procedures, training, operational manuals, and other regulatory documents. Oversees schedules, priorities, and standards for achieving goals. Assists in the preparation of operational policies, personnel processing, purchasing, and departmental budgets. Prepares reports and maintains adequate records to monitor academic progress of scholars. Creates, revises, and distributes routine correspondence to departments both internal and external to the Sam Houston State University campus. Provides limited assistance to students completing SHSU financial aid, registrar, admissions, or other department forms. Plans, schedules, and supervises the work of student employees. Manages Smith‑Hutson Scholars website and social media accounts. Performs other related duties as assigned.
Other Specifications
Employee may be required to work outside of traditional M‑F, 8‑5 working hours to support program requirements. In this position, students regularly contact the incumbent outside of normal M‑F, 8:00am – 5:00pm working hours. Immediate responses are appropriate in many cases and cannot wait until the next business day. Important contacts with other professional and managerial staff in other departments and divisions, university administrators and executives, state and federal agencies, and outside vendors. Ability to interpret and apply complex directives and policies to multiple functional areas.
