Job Summary
The Administrative Coordinator I position provides administrative, operational, and human resources support to ensure efficient, compliant departmental operations. It serves as the primary coordination hub for faculty, staff, students, and external partners, managing calendars, meetings, facilities, and front office functions while maintaining accurate records and adhering to university policies. The role supports faculty processes, recruitment, and student programs; oversees hiring actions, onboarding, and timekeeping; and coordinates complex travel activities. This position supports the department’s strategic and operational priorities and may be assigned to support student travel for the Tiger Band.
Job Duties
25% - Essential - Administrative & Office Operations
Manage department calendar, schedule meetings, coordinate logistics, record and distribute meeting notes, serve as room coordinator, and handle front office operations including answering phones, routing inquiries, processing mail, maintaining supplies, and managing listservs. Coordinate facility and equipment repair requests, piano tunings, and office equipment maintenance. Submit and track maintenance requests, ensure timely resolution and proper asset disposition, and maintain accurate departmental records.
25% - Essential - Academic & Faculty Support
Coordinate faculty processes such as sabbatical requests and evaluations, facilitate nomination processes for honors and awards, support faculty recruitment and hiring by coordinating search activities, scheduling interviews, and organizing campus visits. Serve as backup Registration Coordinator for course scheduling and enrollment, provide support for scholarship and award processing systems, and collaborate on visa and immigration processes for international hires. Assist with student intern coordination and support logistics for student group activities, including travel, lodging, transportation, and catering.
25% - Essential - Human Resources & Payroll Administration
Initiate and process employee and student hiring actions; prepare HR documentation; coordinate onboarding, background checks, and orientation; serve as backup timekeeper; monitor timecards, approvals, and compliance with payroll deadlines; manage FMLA processes and related documentation.
25% - Essential - Business Operations Support
Complete and route summer school and special pay forms, coordinate travel arrangements and reimbursements for students and campus guests, provide guidance on travel policies, support financial tracking and reporting for Alumni Relations, assist with budget coordination, oversee purchasing activities, and coordinate per diem, itineraries, and travel approvals for student band travel with Athletics.
Minimum Requirements
A high school diploma with relevant experience in business management, public administration, or administrative services, or a bachelor’s degree may substitute for required work experience.

Compensation
Expected salary range: $39,300.00 – $50,000.00.
