Job Summary
This is a professional, full‑time, live‑off position in the Office of Housing and Residence Life. Under the direct supervision of the Assistant Director of Housing, the Assignments Coordinator provides support to the Office of Housing and Residence Life for all assignment and contract related tasks for all residential campuses. This position will also assist in the management of the front office in Cochran and Macon.
Responsibilities
Housing Assignments and Contracts (60%)
Assists with the housing application process for returning students, including marketing and training on the process for both students and staff.
Corresponds with incoming and current students regarding occupancy status.
Coordinates all information concerning housing assignment processes, break housing, and summer housing.
Coordinates with stakeholders on reserved spaces in the residence halls, such as coaches, department heads, LLCs, etc.
Oversees Room Change Week each semester and reconciles building rosters.
Disseminates information to students, prospective students, outside agencies, visitors, parents, etc. that may require explanation and interpretation of established policies and procedures and directs individuals to sources of additional information.
Oversees all contract exemption and release related processes, including appeals, and disseminates needed information to the contract release appeals committee as needed.
Advise and Support (30%)
Performs work of a confidential nature, including grade audits. Handles confidential information regarding ADA, behavioral/discipline issues, and other sensitive information for current, incoming, and former MGA students.
Maintains accurate student housing files and records through database systems as well as paper
on‑computerized systems, working within multiple semesters and systems for accurate assignments and records.
Participates in Orientation and Open House initiatives on all 3 residential campuses.
Remains on top of best practices and current trends in student housing.
Serves as a member of selected departmental committees.
Assists in the management of the front offices in Cochran and Macon.
Trains Residence Life Coordinators, Community Assistants, and Resident Assistants on housing application processes.
Collaborates With Other Departments (10%)
This position may require some evening and/or weekend hours during times of high traffic, such as move‑in, Open House, and Orientation.
Identifies as a Campus Security Authority (CSA).
Other duties as assigned.
Required Qualifications
Educational Requirements
High school diploma or equivalent
Other Required Qualifications
Working knowledge of Microsoft Office applications.
Ability to travel between the three residential campuses.
Required Experience
Two years’ experience of professional work with an emphasis in customer service and organizational abilities.
Preferred Qualifications
Preferred Educational Qualifications
Bachelor’s degree.
Preferred Experience
Experience working in higher education.
Knowledge, Skills, & Abilities
Experience using StarRez or another occupancy management application.
Knowledge of residence life policies and procedures.
Knowledge of supervisory principles and practices.
Skill in the delegation of responsibility and authority.
Skill in the operation of computer and job‑related software programs.
Skill in decision making and problem solving.
Skill in interpersonal relations and in dealing with the public.
Skill in oral and written communication.
