Connect Advisors is a rapidly growing Owner’s Representative firm focused on delivering complex construction projects with precision, accountability, and a client-first mindset. As a Project Coordinator / Administrator, you will play a key supporting role in representing our clients’ interests from early preconstruction planning through final closeout—helping ensure alignment across design teams, contractors, and stakeholders at every phase.
This is a highly collaborative and detail-oriented role where you will support coordination efforts, maintain project documentation, and assist in tracking budgets, schedules, and key project milestones. You will work closely with Project Managers and project teams to ensure information flows efficiently, documentation is accurate and up to date, and project processes are executed consistently. Your ability to stay organized, anticipate needs, and follow through on critical tasks will directly contribute to keeping projects on track.

Responsibilities
Support Project Managers in the day-to-day execution of projects by coordinating administrative, documentation, and reporting activities across all phases of work.
Establish and maintain organized project documentation systems, including contracts, drawings, meeting minutes, logs, and correspondence to ensure accessibility and consistency.
Prepare, format, and distribute project reports, meeting agendas, and meeting minutes to support clear communication and accountability across the project team.
Track and manage key project logs, including submittals, RFIs, change orders, and action items, ensuring timely follow-up and resolution.
Assist in the preparation and coordination of project-related documentation, including contracts, pay applications, and closeout materials.
Coordinate communication between internal teams, clients, and external consultants to ensure alignment and timely exchange of information.
Support the implementation and consistent use of project templates, tools, and software platforms across multiple projects.
Monitor project schedules and milestones, providing updates to the project team and identifying potential gaps or delays for escalation.
Assist with financial tracking activities, including invoice processing, budget updates, and cost documentation support.
Coordinate logistics for project meetings, site visits, and client presentations, including scheduling, materials preparation, and follow-up.
Maintain quality control of project documentation and deliverables to ensure accuracy, completeness, and alignment with company standards.
Provide general administrative and operational support to project teams, contributing to overall efficiency and successful project delivery.
Qualifications, Knowledge & Skills
Bachelor's Degree in Business, Engineering, Construction Management or related field. A combination of education and work experience may also be considered in lieu of degree.
2+ years of experience in construction administration, architecture, engineering, construction management or similar experience
Proficient with expert knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
Ability to be proactive, respectful, have positive attitude and be able to gain the trust of others.
Knowledge and experience with appropriate construction processes, means and methods.
Passion for being detail oriented and highly organized
Knowledge of the permitting process and construction delivery methods and agreements
