Position Primary Purpose
The Medical Clinic Administrative Supervisor is an administrative position responsible for overseeing all aspects of daily operations at the medical clinic with support and direction from the Medical Director, ensuring efficient patient flow, regulatory compliance, and high-quality care within a Federally Qualified Health Center setting. This role integrates clinical, operational, fiscal, and quality improvement functions by supervising staff, provider schedules, and resources, maintaining compliance with HRSA, PCPCH, and other federal and state requirements, and optimizing use of electronic health record and practice management systems. The position ensures exceptional patient service, sound fiscal management, and effective coordination and integration with internal teams and external partners, fostering a safe, welcoming, and productive clinic environment.
Key Responsibilities
Oversees daily clinic operations, ensuring smooth patient flow from arrival to departure.
Promotes a safe, welcoming environment with excellent customer service.
Maintains compliance with clinic protocols, federal/state regulations, and agency policies.
Disseminates updates on policy, procedure, and protocol changes.
Oversees Clinical Quality Measures (CQMs), develop and implements workflows, provides staff training, and prepares required reports (UDS, PCPCH, and all other internal quality reports).
Ensures ongoing compliance with HRSA, PCPCH, HIPAA, and OSHA standards.
Provides logistical support for Client Advisory Committee meetings as needed.
Attends provider meetings as requested, staff, and quality assurance meetings as appropriate.
Supports the Revenue Cycle team by coordinating front office workflow.
Creates and oversees provider schedules, staff assignments, and clinic resources.
Ensures timely and accurate EHR documentation and workflow management.
Manages all record requests and subpoenas and is first point of contact for all medical grievances.
Conducts morning huddle meetings and attend/facilitate staff meetings.
Supervises clinic administrative and medical assistant (MA) staff, including collaborating with HR on hiring, onboarding, credentialing, training, evaluations, and conflict resolution.
Fosters a positive team environment and supports professional development.
Facilitates effective communication across internal departments and external partners.
Cross trains and provides coverage for front office duties.
Addresses patient complaints and acts as liaison with health plans and other partners.
Organizes annual staff evaluations and collaborates with HR and the Medical Director.
Assists with daily clinical operational issues and staff coverage.
Approves all timecards and time off requests.
Collaborates on clinic budget development and management.
Monitors monthly variances, control costs, and optimize revenue opportunities.
All other duties as assigned.
Minimum Requirements And Education
2+ years' supervisory experience in a healthcare setting.
Excellent interpersonal skills; ability to collaborate across multidisciplinary teams.
Knowledge of primary care clinic operations.
Expertise in health information management and healthcare revenue cycle management.
Effective organizational, communication, and interpersonal skills.
Problem-solving skills and ability to analyze and use data for decision making.
Ability to write clear, concise narrative and statistical reports, effective communication skills, and ability to present reports.
Preferred Qualifications
2+ years' supervisory experience in a Medical Clinic.
Bachelor's degree in health administration, business, non-profit management, or related field (or equivalent experience).
Knowledge of Federally Qualified Health Center (FQHC) compliance requirements including clinical quality measures (CQMs), Uniform Data Systems (UDS), patient-centered primary care home (PCPCH), and 340B pharmacy program; HIPAA; Medicare, Medicaid, and commercial insurance plans.
Expertise in management and configuration of electronic health records (EHRs) and practice management (PM), specifically eClinicalWorks.
Experience in trauma-informed systems and/or working with underserved populations.
Compensation
This position is a full-time, non-union, non-exempt, hourly position with starting wage DOE (depending on experience). We offer an amazing, comprehensive benefit package.
