Description
The Human Resources Assistant provides professional support across various HR functions, including pre‑employment screenings, onboarding and offboarding, compliance, and HRIS management. This role involves working closely with cross‑functional departments and interacting regularly with employees, requiring strong written and verbal communication skills to deliver outstanding customer service. The HR Assistant will proactively address and resolve inquiries and issues related to agency policies and procedures, demonstrating initiative and problem‑solving abilities. Additionally, the HR Assistant will play a key role in fostering a positive work environment by promoting a supportive and inclusive culture, encouraging a positive attitude, and helping to uphold the organization’s values and mission.

Responsibilities

Maintain and update personnel records in the HRIS and other relevant systems to ensure data integrity and accuracy.

Oversee the full onboarding and offboarding lifecycle, ensuring a smooth and positive employee experience.

Manage and coordinate all pre‑employment screenings (background checks, clearances, drug screenings, etc.).

Effectively address employee inquiries and issues related to agency policies, the HRIS, HR procedures, etc.

Provide administrative support to the HR department, including filing, mail distribution, and creation and processing of forms.

Manage the department e‑mail box, respond to and/or forward inquiries in a timely manner.

Actively contribute to the implementation and enhancement of the onboarding process; recommend continuous process improvements within job functions.

Coordinate new hire orientation sessions and other HR and organizational employee events.

Maintain and distribute monthly and ad‑hoc reporting – Staff Directory, new‑hire report, and offboarding report.

Record minutes for employee‑relation and disciplinary meetings, as needed.

Work closely with cross‑functional departments and maintain open lines of communication.

Actively identify opportunities for process improvements and suggest effective solutions.

Perform other duties/responsibilities as assigned within the scope of the position.

Requirements

Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).

A minimum of one (1) year professional HR or administrative support experience (required).

Experience with Microsoft Office Suite, including SharePoint and Teams.

Excellent communication and interpersonal skills to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

Proven ability to manage multiple tasks and prioritize effectively in a fast‑paced environment.

Position is based in Staten Island, with rare, as‑needed travel to the Brooklyn location.

Ability to perform the essential functions of the job with or without a reasonable accommodation.
