Job Responsibilities

The Patient Access Advocate greets patients with a smile, answers the phone, and enters information into the electronic health record and database, performing general clerical duties. Consistently maintaining a pleasant, professional demeanor is essential.

Registration functions: updating demographics, verifying insurance, collecting point‑of‑service payments, and documenting registration information within an electronic system to ensure clean billing.

Visit closure activities, including collecting payment and any required follow‑up activities.

Provides the highest level of customer service to patients/families during registration interactions and offers wayfinding assistance to patients and visitors.

Checks patients in and out.

Verifies insurance eligibility and benefits using an online electronic verification system or by contacting payers directly, collecting copayments, coinsurance, and deductibles.

Assists staff and patients with clerical duties such as copying, scanning, faxing documents, and maintaining patient files.

Answers and screens phone calls, directing them to the appropriate individual and taking/directing messages as necessary.

Provides callers with information such as company address, directions, fax numbers, website, and related details.

Confirms all paperwork is filled out correctly.

Maintains a clean and presentable front desk, waiting room, and children’s play area; includes tasks like emptying trash, vacuuming, mopping floors, and cleaning counters.

Encourages a friendly and respectful work environment.

Provides a patient‑focused, reassuring open environment that encourages repeat visits to the ED/UCs.

Follows all HIPAA policies and procedures.

Follows all company policies.

Qualifications

Minimum typing speed of 50 wpm.

Flexibility and strong communication skills.

Collaboration skills and patient/client focus.

Technical capacity and basic knowledge of Microsoft Office products (Word, Excel, Outlook).

High school diploma or GED.

Minimum 6 months of healthcare experience or one year of customer service experience.

Basic understanding of insurance and medical terminology, including billing codes (DRG, ICD‑10, CPT, HCPCS) preferred.

Exceptional communication skills and customer service ability.

Ability to read and interpret simple instructions, and to write basic correspondence.

Ability to present information clearly to patients and employees.

Basic math skills (addition, subtraction, multiplication, division).

Application of common sense to detailed written or oral instructions.

Problem‑solving skills and ability to handle standardized situations.

Independence, self‑direction, and ability to work with people from diverse backgrounds.

Analytical and problem‑solving skills, managing conflict, and seeking supervisor support when needed.

Daily focus on attaining productivity standards.

Attendance at staff meetings and huddles as required.

Minimum one year experience in a medical office setting desired.

Familiarity with health insurance verification.

Knowledge of general office equipment (telephones, photocopiers, scanners, credit card machines, fax).

Computer literacy (Word, Excel, Outlook).

Ability to multitask and prioritize effectively.

Solid work history.

Physical requirements: standing, walking, using hands, reaching, sitting, talking, listening; may require lifting up to 10 pounds; no special vision requirements.

Healthcare environment: may routinely contact patients with contagious illnesses; use of standard office equipment; moderate noise exposure.
