Payroll Manager
We’re seeking an experienced Payroll Manager to oversee all aspects of payroll operations and labor cost reporting. This role plays a critical part in ensuring accurate, timely payroll, maintaining compliance across union and non‑union populations, and continuously improving payroll processes. You’ll lead a small payroll team and collaborate closely with HR, accounting, labor coordinators, and operations.
Key Responsibilities
Payroll Operations
- Process weekly office payroll and support weekly union field payroll
- Calculate wages, salaries, bonuses, deductions, commissions, vehicle allowances, and fringe benefits
- Manage onboarding and offboarding for office and field employees
- Maintain accurate payroll records and handle weekly payroll tax payments
Union & Compliance Reporting
- Prepare and submit monthly union reports and payments
- Develop working knowledge of collective bargaining agreements
- Ensure compliance with federal, state, local, and union payroll regulations
- Stay current on payroll legislation and regulatory changes
Vehicles & Mileage
- Process monthly fuel usage and vehicle allowances
- Compile mileage and taxable fringe benefit data for W‑2 reporting
Certified Payroll / LCPTracker
- Record and maintain weekly LCPTracker data
- Train and support billing staff on utilization and certified payroll requirements
Quarterly & Annual Responsibilities
- Prepare and file SUTA, 940/941, and state withholding reports
- Prepare and distribute W‑2s and required ACA reporting (1095‑B / 1095‑C)
- Oversee annual union rate and burden updates
Leadership & Collaboration
- Supervise, train, and mentor a payroll team (2 direct reports)
- Develop and enhance payroll policies, procedures, and controls
- Prepare payroll reports, analyze discrepancies, and resolve issues
- Collaborate cross‑functionally with HR, accounting, and operations
Benefits & Retirement
- Ensure accurate benefit deductions and reconciliations
- Verify 401(k) deferrals and profit‑sharing contributions
Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field preferred
- 5+ years of payroll processing and management experience
- Strong knowledge of payroll laws, regulations, and best practices
- Experience supporting union payroll strongly preferred
