Billing & Accounts Receivable Specialist

Location: Riviera Beach, FL
Schedule: Monday–Friday, 8:00 AM – 5:00 PM (On‑Site)

In this role, you’ll own the billing and accounts receivable process, ensuring shipments are invoiced correctly, documentation aligns, and cash is collected efficiently.

Key Responsibilities

Customer Billing

• Prepare and issue customer invoices based on shipment activity


• Ensure invoices accurately reflect product shipped, quantities, weights, pricing, and terms


• Confirm billing aligns with operational documentation, including Bills of Lading (BOLs), truck layouts, and shipping confirmations


• Ensure shipments are billed timely and completely

Documentation & Recordkeeping

• Match operational documentation to invoices to confirm accuracy


• Maintain organized billing packets including invoices, BOLs, and supporting documentation


• Ensure records are complete, organized, and easily retrievable

Accounts Receivable & Cash Application

• Monitor customer accounts and maintain AR aging


• Follow up on overdue invoices and communicate with customers regarding payment status


• Record and apply customer payments accurately


• Assist with identifying and resolving payment discrepancies

Cross‑Functional Collaboration

• Work closely with operations and logistics to ensure documentation is complete


• Partner with accounting to support month‑end close and reporting


• Escalate discrepancies impacting billing or collections

What We’re Looking For

• 2+ years of experience in billing, accounts receivable, or accounting support


• Strong attention to detail and documentation accuracy


• Experience matching documentation to financial transactions


• Comfortable working in ERP systems and Excel


• Organized, dependable, and strong follow‑up skills

Preferred (Not Required)

• Experience in distribution, logistics, food, or inventory‑based businesses


• Familiarity with Bills of Lading and shipping documentation


• Experience managing AR aging and collections
