SUMMARY

Provide Administrative support to the Repair Ship Manager, Area Managers, and Support Teams

ESSENTIAL FUNCTIONS AND DUTIES

Report to Ship Manager. Maintain internal contact with Ship Management and various departments throughout the shipyard. Maintain external contacts with customers, vendors and subcontractors.

Manage office supplies and equipment, answer multiple phone lines, and oversee the daily flow of mail, correspondence, filing and reprographic needs.

Collect, verify, and enter data as required to maintain department spreadsheets and other report documentation. Update, run, sort, and distribute department reports.

Prepare correspondence, presentations, reports, and spreadsheets.

Maintain department records and files.

Receive internal office mail and distributes to various Repair personnel.

Maintain administrative support and daily input of Condition Found Reports (CFRs).

Facilitate conference rooms and needs with audio-visual equipment, catering and special assignments.

Order office supplies and assist with delivery to various Repair department personnel.

Use discretion when handling sensitive company and personnel matters.

Other responsibilities and duties as assigned.

SKILLS AND QUALIFICATIONS

High School diploma or equivalent.

One year of administrative experience.

Proficiency in Microsoft Word, Outlook, Excel, PowerPoint and various spreadsheet programs.

Ability to type 55 WPM.

Strong communication and organizational skills.

Must be flexible, resourceful, and have the ability to work independently and work within a team environment.

Ability to understand Company Policies and Procedures.

Ability to understand general terminology including STD, B911, RCC, CFR, Open Plan and chits.

Ability to understand and follow Safety requirements and proper PPE throughout the shipyard.

Must be physically able to transit shipyard and climb stairs.

ACCOUNTABILITY

Responsible for timely and accurate administrative support to the Ship Manager, Area Managers, department support teams and other departments in the shipyard.
