Accounting Administrator

The Accounting Admin supports daily accounting and operational functions for a service-based organization. This role works closely with the Office Manager to ensure accurate financial processing, efficient technician scheduling, timely invoicing, and successful month-end close. The position requires strong attention to detail, the ability to manage multiple priorities, and comfort working across accounting, operations, and customer service.
Key Responsibilities:
Assist Office Manager and serve as backup support
Manage technician schedules and dispatch service calls
Process accounts payable and accounts receivable
Create and deliver customer invoices
Perform bank reconciliations and support month-end close
Manage PMA/FMA contracts and national accounts
Prepare sales and use tax filings
Set up service call estimates, fixed-price work, and NTE tracking
Create purchase orders and coordinate with vendors
Maintain business licenses, permits, and third-party customer portals
Support HR, benefits administration, and backup payroll processing
Order office supplies and provide general administrative support
Qualifications:
Experience in accounting or administrative support within a service or operations environment
Experience with accounts payable, accounts receivable, and invoicing
Month-end close and bank reconciliation experience
Comfortable working with technicians, vendors, and customers
Software/Systems:
Great Plains (required or preferred)
Microsoft Office (Excel, Word, Outlook)
