Compensation and Benefits
Anticipated Hiring Salary Range: $4,799 - $4,895 per month
Full CSU Classification Salary Range: $4,799 - $6,992 per month
This is a full-time (equivalent to 40 hours per week), probationary, non-exempt position.
Full CSU system, benefit package includes medical, dental, vision, CalPERS membership, sick, vacation, 15 paid holidays. Eligible employees may participate in fee waiver education program. See summary of benefits.
Position Summary
The Department Administrative Analyst/Specialist (AAS) works under the direction of the Psychology Department Chair. The AAS is senior office staff, lead in the Psychology Department Office, addresses administrative concerns, assists undergraduate majors and graduate students. The department has undergraduate major, minor, and three graduate programs.
The AAS performs specialized administrative responsibilities and financial accounting of 20 separate accounts totaling $200-250,000, supports department, directs operations, coordinates tasks. Conducts independent analytical management of department operations, interprets policies, reports, evaluates, suggests improvements. Plans and administers budget, financial analysis, advising chair. Implements purchase of supplies, coordinates personnel matters (faculty searches, contract admin for lecturers, TAs, ISAs), course scheduling/room arrangement, accounting of foundation/trust accounts, travel processing, and communication coordination with visitors and community contacts.
Key Qualifications
Knowledge of current office methods, procedures, and practices.
Knowledge and skill in methods and procedures for research and statistical analysis and the ability to apply them.
Knowledge of budget and purchasing practices, policies and procedures.
Knowledge of standard office equipment and software packages (Microsoft Office Suite, Google apps, etc.)
Mastery of English grammar, spelling and punctuation, and demonstrated competence in presenting standard information in writing.
Skill/Ability:
Ability to independently interpret and apply complex policies to find solutions to procedural and office administrative problems.
Ability to coordinate and delegate workflow to staff and set priorities for assigned tasks.
Promote a well‑organized, team‑oriented office environment that supports faculty and staff.
Work effectively with diverse ethnic, cultural, socio‑economic backgrounds.
Excellent oral and written communication skills, including regular communication with individuals at higher levels within the university or externally, often involving sensitive interpersonal situations.
Ability to work effectively in a fast‑paced, multi‑task environment, maintaining high accuracy.
Ability to create and maintain program records and provide data for reviewing and implementing strategies to support programmatic goals and enhance processes.
Excellent business mathematics, including tracking and reconciling financial data.
Ability to work independently on complex projects using good judgment and discretion.
Ability to plan, organize, and coordinate large‑scale department projects and events such as colloquium series, lecture series, workshops, awards ceremonies, and commencement celebration.
Interpretive skills requiring research, analysis, evaluation to solve office procedural problems.
Education and Experience
Bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, evaluation leading to development or improvement of administrative policies, procedures, practices, or programs.
Preferred Knowledge, Skills, or Abilities:
Higher education experience serving as a resource on policies and procedures.
Knowledge of department curriculum and university organization sufficient to respond to student and public inquiries.
Experience using PeopleSoft Financial and HRSA programs, Concur, and Google Calendars.
Department Summary
Psychology studies scientific behavior and consciousness, applying findings to home, school work, and social relations. Covers learning, cognition, motivation, personality, psychophysiology, sexuality, group processes, cultural factors, abnormal behavior. For students interested in behavior of humans and other organisms.
