The Workforce Staffing (WFS) team is looking for a non‑exempt Staffing Administrator. Staffing Administrators will help coordinate and execute activities to support the High‑Volume Hiring (HVH) and staffing efforts for the WFS team for a defined geography (node). These efforts include but are not limited to New Hire Events (NHE) and New Hire Orientations (NHO). Staffing Administrators will develop and coordinate activities to support staffing efforts and provide support to the WFS organization to ensure successful completion of all administrative activities in the staffing process. This role is essential to creating a positive candidate and employee experience. Staffing Administrators will play an integral role in support of the Node’s staffing efforts, will thrive on pulling many pieces together to form a complete picture, and would enjoy working in a team environment with a focus on individual contribution. You will work with a team of Staffing Coordinators and Managers who thrive in an innovative and fast‑paced environment. Our WFS node teams work flexible schedules, shifts, and areas to include evenings and weekends. We roll up our sleeves, work hard, have fun and make history!
Key Job Responsibilities
Sets up, executes, and breaks down New Hiring Events (NHE) and New Hire Orientations (NHO) based on labor projections to meet the labor order demands and fill on time.
Supports candidate activity to ensure all electronic paperwork is completed on time.
Provides follow‑up correspondence to candidates on recruiting status via phone and email.
Tracks recruiting activities and reports candidate status.
Attends events such as community fairs, hiring events, and job fairs.
Answers basic questions regarding the recruiting process.
Generates basic reporting from Salesforce.
Identifies opportunities for improving candidate experience and scheduling efficiency.
Assists in the coordination of other recruiting activities as needed.
Assists in onboarding of new hires and departure of employees.
Performs administrative tasks as needed.
Effectively executes NHE activities including Greeter, Welcome Event Presenter, Candidate Care Specialist, Computer Assistance, Badge Photo, and/or Drug Test Ambassador.
Works a flexible schedule with varying shifts to include evenings and weekends in multiple sites; may be required to work overtime.
Must be organized with attention to detail, able to prioritize, and work in an environment with competing demands.
Must be able to travel as needed to conduct events in various locations within your designated Node or assigned geographical area.
Basic Qualifications
High school or equivalent diploma.
Associate’s degree or equivalent work experience required.
1–2 years of experience in a high‑volume administrative support role or equivalent (former Seasonal Staffing Ambassadors, Learning Ambassadors, Training Ambassadors, or Seasonal Operations Administrators a plus).
Experience troubleshooting issues and root cause analysis.
Experience in oral and written communication.
Experience with Applicant Tracking Systems or other tracking and reporting systems like Salesforce.
Excellent customer service skills with an emphasis on tact and confidentiality.
Organizational skills with attention to detail, ability to prioritize and work in an environment with competing demands.
Bi‑lingual skills are a plus.
Comfortable with speaking in front of large groups.
Roll‑up‑your‑sleeves attitude, sense of urgency, and friendly, diplomatic demeanor.
Preferred Qualifications
Experience working with Windows, Word, Excel, MyTime (Kronos), and PowerPoint.
Experience in administrative tasks such as data entry, managing data‑driven report processes, or similar processes.
Experience working with customers with a passion for delivering exceptional service, or experience that includes strong analytical skills, attention to detail, and effective communication abilities.
Experience in recruitment, HR, or equivalent.
Recruiting assistant experience preferred, professional services experience desirable.
Experience troubleshooting and documenting findings, or experience dealing effectively with customers during problem resolution and operating efficiently under pressure.
Experience troubleshooting issues and root cause analysis.
Bi‑lingual skills are a plus.
