
Office Administrator

Salary Range: $55,000.00 To $65,000.00 Annually
We are seeking a proactive and highly organized Office Administrator to support the day-to-day operations of our office. This role is ideal for someone who takes pride in creating a well-run, professional workplace, enjoys coordinating activities and thrives in a collaborative environment. You will play a key role in maintaining office efficiency, supporting employees and contributing to a positive and engaging company culture.
Key Responsibilities
Office Management & Operations
Act as the main point of contact for office vendors and coordinate with building management on facility-related matters
Maintain an organized, professional office environment and ensure supplies are adequately stocked
Track office and kitchen supply inventory and coordinate servicing of office equipment
Manage daily mail distribution and courier services
Serve as the first point of contact for visitors, clients and employees, creating a professional and welcoming front-of-house experience
Manage day-to-day front desk operations, including greeting guests, handling incoming calls and coordinating meeting room bookings
Support employee onboarding and offboarding by coordinating office access, security passes and workspace setup
Review and verify office-related services and assist with invoice approvals
Participate in the Joint Health and Safety Committee (JHSC) and collaborate with internal teams and affiliates to support and uphold workplace health and safety standards
Coordinate and prepare materials for board meetings and support related administrative activities
Identify opportunities to streamline administrative processes and improve operational efficiency
Ensure adherence to internal office procedures and guidelines
Provide administrative support for special projects, team initiatives and committees as needed
Culture & Employee Experience
Plan and coordinate company events, team meetings and social activities
Coordinate and support employee engagement programs and internal communications
Assist in the creation, coordination and distribution of internal newsletters and updates
Assist with the timely review and processing of vendor invoices to ensure accurate and prompt payment
Coordinate vendor services and maintain organized administrative documentation
Qualifications
Minimum 2 years of experience in office administration, office management, or a related role
Bachelor’s degree preferred, or an equivalent combination of education and relevant experience
Strong organizational and multitasking skills with attention to detail
Excellent communication and interpersonal skills
Experience coordinating events and employee engagement initiatives
Comfortable managing vendors and building relationships with internal & external stakeholders
Proficiency in Microsoft Office (Outlook, Word, Excel)
Experience supporting internal communications or newsletters is an asset
Mandarin language skills are considered an asset
Ability to work independently and take initiative and manage competing priorities
