Personal Lines Assistant / Receptionist
Position Summary:
The Personal Lines Assistant/Receptionist serves as the first point of contact for clients while providing administrative and clerical support to the personal lines team. This role combines front-desk responsibilities with assistance in servicing personal insurance accounts, helping ensure efficient office operations and a high level of customer service.
Key Responsibilities
Front Desk / Reception Duties:
Greet and assist clients in person and over the phone in a professional, friendly manner
Answer and route incoming calls, take messages, and respond to basic inquiries
Manage incoming and outgoing mail, email, and deliveries
Maintain a clean, organized reception area
Schedule appointments and assist with calendar management
Personal Lines Support:
Assist account managers and producers with servicing personal lines policies (auto, home, renters, umbrella, etc.)
Process policy changes, endorsements, and cancellations
Prepare certificates, ID cards, and other policy documents
Follow up with clients for missing information or documentation
Enter and update client data in the agency management system
Help obtain quotes from carriers and prepare proposals when needed
Administrative Duties:
Scan, file, and maintain electronic and paper records
Support billing inquiries and basic policy questions
Track tasks and follow up to ensure timely completion
Assist with special projects and general office support as needed
Qualifications
Property & Casualty License (highly preferred)
High school diploma or equivalent (associate’s or bachelor’s degree preferred)
Prior office, receptionist, or customer service experience preferred
Insurance experience or license is a plus (or willingness to obtain)
Strong communication and interpersonal skills
Excellent organizational skills and attention to detail
Ability to multitask and work in a fast‑paced environment
Proficiency in Microsoft Office and basic computer systems
