Secretary Position
At the present time, a vacancy exists for a Secretary within Learning & Leadership Services division at the Chester County Intermediate Unit, located at the Educational Service Center in Downingtown, PA. Qualifications:
High School Diploma required; College degree in business/administration preferred.
Minimum two (2) years secretarial experience required; specific experience in executive-level setting or in education industry preferred.
Minimum of two (2) years' experience with data entry required.
Current child abuse, criminal and FBI clearances.
Clearance as an MA provider by Commonwealth of PA and federal government (conducted by CCIU upon hire).
Duties and Responsibilities:
Serve as a secretary to the program director, supervisors, and professional staff in the daily operations of the division.
Facilitate scheduling for the directors, supervisors, and professional staff in the division.
Accurately track, reconcile, and document expenses, purchases, and invoices by preparing required documentation, monitoring invoicing status, coding financial information, and maintaining up-to-date records in designated spreadsheets, platforms, and financial systems.
Provide comprehensive logistical and operational support for division-led events, workshops, meetings, and professional learning session.
Support the production, review, and maintenance of copy-ready documents and materials by transcribing notes and recordings, formatting and editing text, creating standardized templates, and retrieving, copying, and transmitting information across multiple platforms.
Independently serve as support staff on complex projects, requiring strong communication with internal divisions and external customers to identify needs and support solution-oriented outcomes.
Serve as liaison between program directors, school districts, state, and other departments, assisting in the development and completion of projects, attending to routine administrative matters and coordinating interdepartmental efforts to further communication, as needed.
Coordinate with all division staff to ensure resources and information are available and disseminated.
Go above and beyond normal requirements of the job to complete tasks as needed. Consistently submit exceptional and quality work.
Perform other duties as assigned

Hourly Rate (2025-2026 School Year) Support, Band 10, Nonexempt (eligible for overtime) $21.47 - $26.84, based upon experience
Schedule: Monday - Friday 260 days per year (12-month position)
