Administrative Assistant

The Administrative Assistant will provide high-level administrative and operational support to multiple senior leaders within the Operations team. This role is critical in ensuring day-to-day efficiency by managing priorities, coordinating logistics, and supporting key business initiatives.
This is a fast-paced, highly collaborative role that requires strong organization, attention to detail, and the ability to manage competing priorities across multiple stakeholders.
Essential Duties and Responsibilities
Provide administrative support to multiple senior leaders across the Operations function
Manage and process expense reports, receipts, and reimbursements in a timely and accurate manner
Review and coordinate vendor invoices and billing, ensuring alignment with budgets and identifying discrepancies
Coordinate meetings, trainings, and team events, including scheduling, travel, and logistics
Distribute and track reports, surveys, and operational communications across teams
Support departmental projects and initiatives, including tracking timelines, organizing materials, and following up on deliverables
Maintain and organize shared documents, reports, and systems (e.g., SharePoint and internal tools)
Assist with administrative workflows to help streamline processes and reduce operational burden on leadership
Act as a point of contact across teams to support communication and coordination efforts
Qualifications
High School diploma required; Bachelor's degree preferred
3+ years of administrative experience in a corporate environment
Experience supporting multiple leaders or teams simultaneously preferred
Skills and Abilities
Highly organized with strong attention to detail and follow-through
Proven ability to prioritize competing requests and manage multiple tasks in a fast-paced environment
Strong written and verbal communication skills
Proactive, resourceful, and able to work both independently and collaboratively
Comfortable working with cross-functional teams and stakeholders
Experience with expense management, invoicing, or operational coordination strongly preferred
Exposure to project coordination or operations support is a plus
