AP Specialist

– responsible for ensuring the company receives payments for services and properly records the transactions. This role requires strong numerical skills, attention to detail, and well‑developed organizational capabilities.

What You’ll Do (Responsibilities)

Perform day‑to‑day financial transactions including verifying, computing, posting, and recording accounts receivable data.

Prepare remote bank deposits.

Process credit card payments, proformas, statement and invoice requests for customers.

Send statements to customers who are late paying, follow up with calls, track late payments, and escalating to management when necessary.

Process and maintain advanced stage collections when required.

Prepare ad hoc reporting and duties as directed by the Accounting Manager.

Investigate AP discrepancies by collaborating with other departments.

Process invoices on a day‑to‑day basis.

Verify vendor information in the system and match it with invoices.

Perform basic accounting tasks in accordance with standard procedures, including general accounting duties.

Compile segments of monthly closings and annual reports and ensure compliance with GAAP.

Prepare reports and assist in projects/tasks assigned by management.

Other duties as assigned.

What You Bring (Qualifications & Skills)

2+ years’ experience in an AP Specialist role.

High school education or equivalent experience.

Knowledge of collection processes and credit research.

Knowledge of accounts receivable processes, including posting of cash, daily deposits, and credit card processing.

Excellent organizational and communication skills.

Basic accounting knowledge and experience with Great Plains software.

Ability to convey information and instructions clearly and effectively.

Assertive, persuasive, and team‑orientated; able to build effective teams for company goals.

Results‑driven, with a sense of urgency and goal orientation.

Principled leadership and sound business ethics.

Special Requirements

U.S. Citizen, U.S. Permanent Resident (Green Card holder), or asylee/refugee status as defined by 8 U.S.C. 1324b(a)(3).

ITAR requirement.

Position may require current U.S. citizenship due to contract requirements.
