Overview:
The Administrative Assistant is the first point of contact for clients and callers, ensuring a welcoming and delightful experience. This role involves managing the front desk, providing administrative support to the financial advisors, and facilitating effective communication across the organization.
Key Responsibilities:
Greet and welcome clients, ensuring a positive first impression.
Answer, screen, and direct incoming phone calls and messages.
Manage scheduling, contact lists, and appointment coordination.
Perform administrative tasks including filing, photocopying, data entry, and document archiving (both physically and digitally).
Maintain a clean and organized reception area.
Order and manage office supplies and equipment.
Process incoming and outgoing mail and deliveries.
Coordinate travel arrangements and accommodations.
Support meeting room bookings and logistics.
Assist with operational needs, internal communication, and help execute client-facing events.
Contribute to marketing efforts including client communication, social media support, and promotional materials.
Complete ad-hoc projects and tasks as requested.
Core Competencies:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency with Microsoft Office and basic office equipment.
Friendly, professional demeanor with a customer-service mindset.
Ability to work both independently and collaboratively in a fast-paced environment.
High level of professionalism, discretion, and ethical conduct.
Preferred Qualifications:
Prior experience in a financial advisor’s practice.

Associate or bachelor’s degree in business, accounting, or finance.
