Administrative Assistant
This role serves as the first point of contact for clients and callers, ensuring a welcoming experience. The position involves managing the front desk, providing administrative support to financial advisors, and facilitating effective communication across the organization.
Key Responsibilities
Greet and welcome clients, ensuring a positive first impression.
Answer, screen, and direct incoming phone calls and messages.
Manage scheduling, contact lists, and appointment coordination.
Perform administrative tasks including filing, photocopying, data entry, and document archiving.
Maintain a clean and organized reception area.
Order and manage office supplies and equipment.
Process incoming and outgoing mail and deliveries.
Coordinate travel arrangements and accommodations.
Support meeting room bookings and logistics.
Assist with operational needs and internal communication.
Contribute to marketing efforts including client communication and social media support.
Complete ad-hoc projects and tasks as requested.
Required Qualifications
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency with Microsoft Office and basic office equipment.
A professional demeanor and a customer-service mindset.
Ability to work both independently and collaboratively.
High level of professionalism, discretion and ethical conduct.
Preferred Qualifications
Prior experience in a financial advisor's practice.
Administrative experience in a professional services environment.
Associate or bachelor's degree in business, accounting or finance.
