
Bookkeeper

We are representing a client seeking a versatile and detail-oriented Office Manager & Bookkeeper to oversee the day-to-day financial, administrative, and operational functions of a manufacturing facility.
The ideal candidate will bring strong bookkeeping skills, organizational expertise, and the ability to support a lean, fast-moving production and sales team. In addition to finance and office management, this role will provide compliance and logistical support to ensure smooth operations and client satisfaction.
Key Responsibilities
Proficiency with QuickBooks Online required; experience with QuickBooks Desktop is a plus
Familiarity with inventory management systems preferable
Manage accounts payable/receivable
Enter bank and credit card transactions
Perform credit card, bank, and loan reconciliations
Assist with commission/revenue share tracking for sales partners
Prepare internal monthly reports and assist with quarterly and year-end reviews
Support CPA with reconciliations, documentation, and audits
Office Management & Administrative Support
Oversee office supplies, equipment, software subscriptions, and vendor relationships
Maintain internal calendars, schedules, and shared files for production and client services
Organize and maintain digital and paper records: contracts, production logs, compliance docs
Coordinate meetings, plant tours, and internal team communications
Assist in onboarding/offboarding employees, contractors, and production staff
Operations & Client Support
Support project tracking for client copacking runs and ensure deadlines are met
Maintain and update client files with production orders, certifications, and labeling compliance
Help coordinate email communications, signage/logistics, and production checklists
Ensure timely archiving of completed or expired client files
HR & Compliance
Maintain employee and contractor records, time tracking, and onboarding documents
Assist with OSHA, FDA, and USDA compliance documentation and reporting
Support safety audits, plant certifications, and vendor qualification processes
Qualifications
Required:
3+ years’ experience in bookkeeping, office management, or small business operations
Strong proficiency with QuickBooks Online and Microsoft Excel
Excellent organizational and communication skills
Ability to thrive in a fast-paced, detail-driven manufacturing environment
Preferred:
Experience in manufacturing, food & beverage, or co-packing industries
Familiarity with compliance processes (FDA, USDA, OSHA)Understanding of production cost tracking and vendor management
In-office work is required, with flexibility in daily hours Monday–Thursday and occasional Friday availability as needed.
