Addison Group is partnering with our client, a well‑established company in the construction industry, to hire a Front Office & Administrative Coordinator. This role serves as the first point of contact for visitors and callers while supporting day‑to‑day administrative operations within a busy office and yard environment. The ideal candidate is organized, customer‑focused, and comfortable balancing multiple administrative tasks in a fast‑paced setting.
Job Description
The Front Office & Administrative Coordinator plays a key role in ensuring smooth front desk operations while providing administrative support related to shipping documentation, invoicing, and general office coordination. This position requires strong customer service skills, attention to detail, and the ability to manage multiple priorities.
Key Responsibilities
Welcome visitors and employees, providing a professional and friendly first point of contact for the office
Manage incoming calls and direct them to the appropriate departments or team members
Provide employees with requested safety gear and office supplies as needed
Process outgoing mail and coordinate shipping or delivery services for packages
Enter and track inventory transfer documentation between facilities and update internal systems accordingly
Coordinate domestic freight shipments and assist with arranging international container shipments
Review freight quotes and confirm accuracy against vendor invoices
Generate customer invoices and prepare shipment documentation for outgoing materials
Support truck drivers by distributing required paperwork and collecting completed documentation upon return
Scan and maintain organized digital records for accounts payable and accounts receivable documentation
Assist with general administrative duties and special projects as needed
Qualifications
Approximately 3-5+ years of experience in an administrative, office support, or accounting data entry role
Strong preference for logistics experience
Ability to manage multiple tasks and remain organized in a busy work environment
Proficiency with Microsoft Office and general computer/data entry skills
Comfortable working with shipping documentation, invoices, and administrative records
Additional Details
Mon-Fri 7a-3:30p
Position involves primarily desk‑based work including sitting, communicating, and working on a computer throughout the day
