Description

The primary responsibility of the Assistant Account Executive is to support the team in ensuring that current and emerging client needs are met. The AAE will help facilitate the effective completion of client deliverables by working closely with cross‑functional team members in account, scientific, editorial, and creative services. Paying attention to detail, being accountable for core responsibilities, seeking opportunities to learn, and clearly communicating with the team are essential for success in this role.

Responsibilities

Assist in the management of projects to ensure completion on time and on budget.

Draft internal and external communications to convey project status.

Set up and assist with teleconferences and WebEx meetings.

Help run internal status meetings and project kick‑offs.

Review client deliverables to ensure overall excellence and adherence to specifications.

Develop project briefs, timelines, budgets, status reports, and other project‑management resources.

Understand and implement client medical‑legal‑regulatory requirements and submission platforms.

Collaborate with account, scientific, creative, and editorial services to ensure smooth project workflow.

Coordinate pitch meetings for new business opportunities.

Assist in the development of scopes of work, budgets, and other new business needs.

Essential Requirements

Experience in managing projects and ensuring timely, on‑budget delivery.

Strong written and oral communication skills.

Ability to coordinate teleconferences and status meetings.

Familiarity with medical‑legal‑regulatory requirements and submission platforms.

Collaborative mindset to work with multiple cross‑functional teams.

Experience coordinating new‑business pitches and developing scopes of work.

Desired Requirements

BA/BS degree in business, communications, life sciences, or an affiliated field.

0–1 year experience in healthcare communications/agency (Med Comms, PR, or Advertising) preferred but not required.

Excellent communication and organizational skills with the ability to handle a high volume of work in a fast‑paced environment.

Self‑starter who can work independently or as part of a team.

Compensation
Hourly rate: $18–$24 (subject to variation based on qualifications and experience).
