Administrative Program Specialist I
Join a dynamic healthcare team in the Pacific Northwest region as an Administrative Program Specialist I. This role is essential in coordinating and managing administrative tasks related to patient care within a designated clinical service line. You will be the primary contact for patients, assisting with appointment scheduling, providing information about clinical services and insurance processes, submitting orders, processing referrals, and ensuring a seamless patient experience.
Key Responsibilities:
Schedule appointments, consultations, and follow-ups for patients within assigned service lines.
Collaborate with patient access teams, providers, technicians, and clinical staff to optimize scheduling and resource utilization.
Coordinate durable medical equipment (DME) needs as required.
Communicate appointment details and preparation instructions clearly to patients.
Serve as an expert on patient access workflows, addressing inquiries and ensuring effective communication.
Educate patients on procedures, policies, and expected outcomes.
Maintain accurate and confidential patient records.
Manage referrals and authorizations, including insurance verifications and pre-certifications.
Monitor referral and authorization expirations and proactively seek extensions.
Support department initiatives such as waitlist management and special projects.
Collaborate with healthcare providers and staff to ensure coordinated patient care.
Perform follow-ups with patients regarding test results, orders, and questions.
Adhere to established policies, procedures, and regulatory requirements while delivering excellent service.
Education and Experience:
High school diploma or equivalent required; Associate Degree preferred.
Knowledge of medical terminology and familiarity with medical insurance processes including verification and authorization.
Proficiency with electronic medical records (EMR) systems and office software applications.
Skills and Abilities:
Strong organizational skills with the ability to prioritize and adapt to changing demands.
Effective written and verbal communication skills tailored to diverse audiences.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) at an intermediate to advanced level.
Ability to handle confidential information with discretion and maintain accurate documentation.
Demonstrated teamwork, collaboration, and customer service skills in a fast-paced environment.
Independent problem-solving, good judgment, and time management capabilities.
