Administrative Program Specialist - Healthcare
Join a dynamic healthcare team in the Pacific Northwest as an Administrative Program Specialist. This full-time temporary role focuses on coordinating and managing administrative tasks related to patient care within a specific clinical service line. You will be the primary point of contact for patients, assisting with appointment scheduling, providing information about clinical services and insurance processes, submitting orders, processing referrals, and ensuring a smooth patient experience.
Key Responsibilities
Schedule appointments, consultations, and follow-ups within assigned service lines.
Collaborate with patient access, providers, technicians, and clinical staff to optimize scheduling and resource use.
Communicate appointment details and preparation instructions to patients.
Serve as an expert on patient access workflows, addressing inquiries and ensuring effective communication.
Educate patients on procedures, policies, and expected outcomes.
Maintain accurate and confidential patient records.
Coordinate referrals and obtain necessary authorizations and insurance verifications.
Support department initiatives, including waitlist management and special projects.
Follow up with patients regarding test results, orders, and questions.
Perform duties in compliance with policies, procedures, and regulatory standards.
Education and Experience
High school diploma or equivalent required; Associate Degree preferred.
At least 2 years of experience in a healthcare setting, preferably in patient access functions.
Knowledge of medical terminology and insurance processes.
Proficiency with electronic medical records (EMR) and office software.
Skills and Abilities
Strong organizational and prioritization skills.
Excellent written and verbal communication abilities.
Proficient with Microsoft Office applications.
Ability to handle confidential information with discretion.
Team-oriented with strong customer service and interpersonal skills.
Capable of working independently with good judgment and problem-solving skills.
Work Environment and Physical Requirements
This role involves frequent sitting, standing, walking, and occasional lifting or carrying of items weighing up to 35 pounds. The position requires effective communication and the ability to maintain composure in a fast-paced environment.
