FRONT DESK / ADMIN – LONG TERM (2 years) PART TIME CONTRACT POSITION in KATY OFFICE WITH HOURS 2PM-6PM, Monday to Friday.
2pm to 6pm Monday - Friday at hourly rate of $22.00. Great opportunity in Katy office (not remote or flex)
Must have above average Excel and Microsoft email/TEAMS skills.
SUMMARY
This role is has a variety of duties from maintaining a professional front desk environment, coordinating office activities, managing mail, invoices, correspondence, and supporting Front Desk and other projects. Note that the phone duties are a small/de minimis as phone rarely rings. Candidate must be reliable and able to work the hours assigned, and possess strong organizational skills, as well as ability to resolve matters that arise. Attention to detail, and the ability to manage multiple priorities while delivering excellent customer service. Must be able to resolve issues with high level of customer service attitude.
SPECIFIC RESPONSIBILITIES
Top level Administrative skills required, including above level Excel skills.
Answering, screening and directing incoming phone calls
Organize and schedule meetings, interview and appointments; order & set up lunch.
Assist with other admin projects as needed.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Update Organization Chart using Vizio software (knowledge is required)
Compile reports for management team/meetings using PPT and Excel (knowledge is required)
Data Entry
Maintain reception area, kitchen, employee breakroom and office supply rooms
Receive, sort and deliver mail
Prepare and monitor invoices;
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating equipment and techniques
Contributes to team goals by accomplishing related duties as needed
May cross train to perform other duties.
