
Executive Assistant

Key Responsibilities
Provide administrative support to the CFO, VP, Worldwide Engineering, and Head of Infrastructure and Information Technology, including calendar management, meeting coordination, and travel arrangements
Manage scheduling across multiple executives, resolving conflicts and ensuring alignment of priorities
Coordinate logistics for leadership meetings, technical reviews, and other cross-functional forums
Support preparation of presentations and materials for executive meetings
Track action items and follow-ups to support timely execution of team priorities
Engineering Team Support
Assist with coordination of team activities, including maintaining simple trackers for key initiatives and follow-ups
Coordinate logistics for team events such as hackathons, including working with vendors to source swag, coordinating catering, and managing event logistics
Support internship program activities, including scheduling events, organizing lunch-and-learns, and coordinating swag and materials
Provide administrative support to Engineering leadership’s direct reports, including travel coordination and expense reporting
Assist with planning and coordination of team events such as offsites and team gatherings (e.g., Product Team dinners)
IT/Security Team Support
Provide administrative support as needed, including coordination of occasional team meetings and events
Prepare, organize, and maintain documents, reports, and correspondence with accuracy and confidentiality
Manage expense reporting, basic budget tracking, and vendor coordination as needed
Serve as a point of contact for internal stakeholders across Engineering, IT/Security, and Finance
Maintain confidentiality and handle sensitive information appropriately
Preferred Qualifications
Bachelor’s degree preferred
4+ years of experience supporting senior-level executives or management
Experience in administrative support, office management, or executive coordination roles
Experience supporting or coordinating projects and cross-functional activities
Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
Experience with systems such as Concur, Oracle, or similar enterprise tools (preferred)
Experience with project or task management tools (e.g., Asana, Jira, Smartsheet, or similar) is a plus

Strong organizational and time management skills with the ability to manage multiple priorities

Hybrid
Targeted compensation guideline: $110,000 – $120,000. Compensation will vary based on number of factors, including market demand for specific skills, role type, job level, and individual qualifications. Final salary offers are determined by considerations including, but not limited to, subject matter expertise, demonstrated skill level, relevant experience, geographic location, education, certifications, and training.
